Who we are

Precision Property Works is the trading name of Noah Phillips, a sole trader based in Ashby-de-la-Zouch, Leicestershire. We carry out property renovation, maintenance and drain clearance across Leicestershire and Derbyshire. We decide how your personal data is used, so we are its “controller”.

You can reach us on 01530 441064 or at quotes@precisionpropertyworks.co.uk.

What we collect

  • When you enquire: your name, phone number, email, the job address, your description of the work, any photos you send, how you heard about us, and which link or advert brought you to our website (see Cookies below).
  • When you become a customer: your contact details and addresses, the jobs we do for you and when we visit, notes and photos about the work, the quotes and invoices we send you, and your payments.
  • If anything is damaged at your property: a report of what happened, with photos or video, and how it was put right.
  • When you open a quote or invoice we’ve sent you: the date and time you first and last opened it.
  • When you accept a quote online: the name you type, the date and time, and your IP address and browser, as a record of your agreement.
  • Emails: copies of the emails we send you.
  • On our website: basic technical data such as your IP address, browser and the pages you visit, through analytics (see Cookies below).

We don’t collect card numbers. Card payments are made on Stripe’s own secure page.

How we use it, and why we’re allowed to

What we doOur lawful basis
Reply to your enquiry and give you a quoteSteps you asked for before a contract

Keep invoices and accountsA legal obligation (HMRC)

Email you to confirm a visit, remind you the evening before it (with who’s coming), and follow up once on a quote you haven’t answeredOur legitimate interest in running jobs smoothly
Let our team know when you first open a quote, so we can answer any questions while it’s fresh, and tailor our one follow-upOur legitimate interest in following up quotes
Note how you found us (for example a Google advert or a Facebook post), so we know which advertising worksOur legitimate interest in understanding where our work comes from. Only the channel is kept with your enquiry
Ask you once for a Google review after a job is paidOur legitimate interest in hearing from customers. You can refuse at any time (see below)
Email you once before a safety certificate or service we did is next due (for example your annual gas safety check)Our legitimate interest in offering you the same service again. You can refuse at any time (see below)
Website analytics and advertising cookiesYour consent, given through the cookie banner

We don’t sell or rent your data. We don’t make automated decisions about you.

Review requests

After a job is paid, we may email you once to ask for a Google review. We ask every customer, and we never offer anything in return. If you’d rather we didn’t, tick “Please don’t ask me for a review” on our enquiry form, use the “Don’t ask me” link on your quote or invoice, use the link in the email, or just tell us.

Renewal reminders

If we issue you a certificate with a next due date, such as a gas safety record or an electrical condition report, we may email you once before it’s due so you can book the next one. If you’d rather we didn’t, tell our engineer, use the link in the email that brings your certificate, use the link in the reminder, or just tell us.

Who else handles your data

  • Cloudflare hosts our website and our job system, and stores the job system’s data in the EU.
  • Resend sends our emails from its Ireland region.
  • Stripe takes card payments, if you pay by card.
  • Google provides our maps, website analytics and advertising, if you agree to those cookies.
  • postcodes.io is sent postcodes only, never names: to suggest postcodes as you type one on our enquiry form, and to place map pins for directions. It’s sent from our own system, so it doesn’t see who you are.
  • Anthropic provides the AI that helps us price a job. It’s sent the photos and description of the work, and descriptions and prices of past jobs, never your name or contact details, and it doesn’t use them to train its AI.
  • Our accountant uses our invoice records for our accounts and tax returns.
  • HMRC or other authorities, only where the law requires it.
  • Our staff and subcontractors see only what they need for the jobs they’re booked on.

Resend, Stripe, Google and Anthropic are US companies, and FormSubmit may process applications outside the UK. Where your data may leave the UK, it’s protected by the safeguards UK law requires, such as the UK International Data Transfer Addendum or the UK–US data bridge.

How long we keep it

WhatHow long
Enquiries that don’t go ahead2 years
Invoices, credit notes and paymentsAt least 6 years, as HMRC requires
Record of an accepted quoteAs long as the invoices for that job
Reports of any damage at your property, with photosAs long as the invoices for that job, in case of a claim
Copies of emails we sent you7 years
Your customer recordWhile you’re a customer. We review records once a year and erase those with no work in the last 7 years

When you ask us to erase your details, we do it straight away, except for invoices and the record of any quote you accepted. We must keep those for HMRC’s period, and then clear your name and address from them automatically. Backups can hold deleted data for up to a year: we keep a nightly copy for 30 days and a monthly copy for 12 months, only to restore our system after a fault. If we ever restore one, we erase again anything you asked us to erase.

Your rights

You can ask us to:

  • give you a copy of the data we hold about you;
  • correct anything that’s wrong;
  • erase your data;
  • restrict how we use it, or object to it;
  • give you your data as a file, to take elsewhere.

Ask by email or phone using the details above. We’ll reply within one month and may need to check it’s really you.

Complaints

If you’re unhappy with how we’ve used your data, please tell us first using the details above. We’ll acknowledge your complaint within 30 days, look into it, and tell you the outcome.

You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, or 0303 123 1113.

Applying to work with us

If you apply to work with us as a subcontractor through our Work With Us page, we collect the details you give us: your name and contact details, your postcode, your trades, experience and qualifications, your business set-up (such as CIS, VAT and insurance), references, and any documents or photos you upload.

The application is delivered to us by email through FormSubmit, a form-handling service, which may process it outside the UK in order to deliver it. We use it only to consider working with you and to contact you about it. We rely on your consent, and on taking steps at your request before we agree to work together.

If we don’t go ahead, we delete your application within 12 months. If we do work together, we keep your details for as long as we work with you, and afterwards for as long as the law requires, for example the records HMRC expects us to keep under the Construction Industry Scheme.

Cookies

Our website uses Google’s maps, analytics and advertising tools, which set cookies. Some can recognise your device across visits and measure how our adverts perform. With your agreement, we also note, for the length of your visit, which link or advert brought you to our site, and send that with any enquiry you make. If you decline, Google’s tag still loads but sets no cookies: it sends Google basic, anonymous measurement, such as the page visited or a tap on a call button, and stores nothing on your device. You choose whether to allow cookies when you first visit, and you can change your mind at any time using the “Cookie settings” link at the bottom of every page.

Our job system (where you view quotes and invoices) uses a single cookie, and only for our staff signing in. Your quote and invoice pages set no tracking cookies.

Changes

If we change this policy, we’ll update the date at the top.
